Step by Step Guides

To help you understand and use Konexis better, we have provided the following guides to make things as clear as possible.

Login and home dashboard

Updating account information

  1. In the dashboard view, click on the “account” icon on the lefthand side.
  2. Edit the first name, last name in their corresponding fields.
  3. Edit the password by clicking the “change password” button.
  4. A new password field is opened. Enter the new password into the field before repeating the password in the “re-enter new password” field below.
  5. Scroll down and click the ”Save” button to confirm the changes.

Managing published links

  1. In the left-hand side of the dashboard screen click “manage links”.
  2. In this screen, scroll down and find the link you want to edit.
  3. Click the pencil / “edit password” icon to change password.
  4. Enter your new password into the field and click the pencil icon again to confirm.
  5. To delete the roadmap scroll to the right and select the bin icon.
  6. In the popup that appears select the “yes I’m sure” button to confirm the deletion.

Creating a new roadmap

  1. In the dashboard view, on the lefthand side click the “New Project” button.
  2. Alternatively at the bottom of your current roadmaps click the plus icon in the outlined ”create new roadmap” card.

Editing an existing roadmap

  1. In the dashboard view, scroll down in the middle section of your screen and locate the card with the title of the roadmap you wish to edit.
  2. Click on the card to open up the builder view and edit the roadmap.
  3. Alternatively, in the dashboard view, click in the search bar at the top and type in the name of the roadmap you wish to edit.
  4. Once the card with the roadmap title appears, click it to enter the builder view.

Setting up your roadmap canvas

Customising your roadmap

  1. Once inside the builder view, hover over each section/tab of the roadmap for the 3 edit icons to appear.
  2. Click the pencil/edit icon to allow for the text to be edited.
  3. Enter the text you want to include before clicking out of the field to confirm.
  4. Hover over the tab and click the “+” icon to add another section or time section.
  5. To remove a section, hover over the tab you want to delete and click the bin icon.
  6. To increase or decrease the size of a section, click and drag the corresponding dotted line, or drag the edge of the section you want to make bigger/smaller.

Setting editor permissions

  1. In the builder view, click on the person icon in the top right corner.
  2. Click the ‘Add Editor’ dropdown to access a list of users under your account group.
  3. Click the user’s name/s to give them access to the roadmap. 
  4. To remove a user’s access, click the bin icon next to their name.

Creating and editing initiatives

Adding new initiatives

  1. In the lefthand side bar, click the initiatives tab.
  2. Click the + icon/ add initiative button and type the initiative title into the ‘add initiative’ field.
  3. Click the save button to confirm.
  4. Drag the newly created initiative from the sidebar into the area you want to place it in the roadmap, then let go.
  5. The initiative can then be moved around the window by dragging it.

Hiding / deleting initiatives

  1. In the main window click the initiative you want to delete/hide.
  2. In the lefthand sidebar click the eye icon next to the title field to hide the initiative from the roadmap. To unhide it, click the eye icon again.
  3. To delete the initiative click on the bin icon next to the eye icon. On the popup that then appears, click “yes, I’m sure” to confirm deletion.

Adding custom fields to initiatives

  1. Click on the initiative you want to add more information for.
  2. In the left-hand sidebar scroll down in the initiative section and click on the dropdown ‘Add other fields’.
  3. In the dropdown, select either ‘Add Small custom field’. or ‘Add Large custom field’.
  4. Replace ‘Enter field title’ with the title of the field you require.
  5. Add the value for this initiative and field in the text field below (up to 40 characters for small fields and 2000 for large).
  6. Click the “save” button to confirm this.

Assigning dependencies to an initiative

  1. Select the initiative you wish to assign dependencies to.
  2. In the initiative’s lefthand sidebar, scroll down and click the ‘dependencies’ button.
    In the main window, check the boxes next to the initiatives you want to identify as dependencies.
  3. Click the dependencies button in the sidebar again to confirm.
  4. Otherwise, to remove a dependency, unclick the box or click the cross icon next to the initiative name in the dependencies section.

Adding hyperlinks

  1. Select an initiative and in the left sidebar select a field you wish to add a hyperlink to.
  2.  Highlight the text you wish to add a hyperlink to.
  3. Click the link icon below the text box and in the popup enter the hyperlink address.
  4. Once the text appears blue in the initiative’s popup, click save below the field’s text box.

Budget

Adding budget and spend values

  1. Select an initiative.
  2. On the left sidebar scroll down and click on the ‘Budget’ section.
  3. To change the currency, click the dropdown next to GBP and select the appropriate currency.
  4. Enter the required values in the ‘CapEx’ and ‘OpEx’ sections, this will automatically change the value in the ‘Total’ section.
  5. Otherwise click the override button to the right of the ‘Total’ section to enter the total value manually.
  6. The value for spend can be entered into the section marked ‘Spent’.

Hiding and deleting fields

Hiding and deleting budget fields, including CapEx/OpEx and Spend, can be done similarly to other fields under an initiative.

  1. Click on an eye icon to the right of the field to hide it. (CapEx and OpEx will both be switched off when one is clicked).
  2. Click on the bin icon in the top right of the budget section in the sidebar to remove the budget values for an initiative

Adding an extra budget field

  1. Scroll to the bottom of the budget section in the left sidebar.
  2. Click the dropdown titled ‘Add budget fields’.
  3.  Select ‘Add new field’.
  4. Add the field title and value in the corresponding sections, then click the button titled ‘Save’.
  5. This field will then appear in the initiative’s budget popup.

Creating and assigning filters

Creating and assigning RAG status filter

  1. In the lefthand sidebar open the ‘filters’ tab.
  2. Click the ‘Add a filter’ dropdown.
  3. Select the ‘RAG’ item.(The RAG filter will be added to filters)
  1. Click on an initiative on the main window.
  2. Scroll down to filters subsection of the Initiatives tab.
  3. Select the appropriate value (red, amber, green)
  4. Repeat this process across all initiatives you want to have a RAG value.
  5. In the righthand sidebar toggle the RAG filter button to view the filter in effect.

Removing Filters

  1. In the lefthand sidebar click the ‘Filters’ tab.
  2. Under the ‘selected filters’ section, click the bin icon next to the filter you want to remove.
  3. In the popup, click ‘yes I’m sure’ to confirm the deletion.

Adding a size filter

  1. Under the ‘Filters’ section in the lefthand sidebar, click the dropdown titled ‘Add a filter’.
  2. Click the item titled ‘Add Size’.
  3. Once the filter is loaded, click the arrow to the right of the ‘Size’ title to expand the section.
  4. (Size levels can be added by clicking the plus symbol at the bottom. The dot size of the size levels can be altered by clicking the + and – icons to the side. Colours can be changed by clicking the dots next to the individual size items. The size items can be moved by clicking and dragging on the 6 dot icons to the left).
  5. Once an initiative is selected, scroll down on the left sidebar to the size filter (under the subheading ‘ Filters’) to select a size.
  6. In the right sidebar the size filter can be viewed by toggling on the on/off switch.

Creating Custom Filters

3 preset filters are added into the roadmap.

  1. Select an initiative on the roadmap and click on the ‘Filters’ drop down on the left hand side.
  2. This will show the 3 preset filters, click on ‘add a filter’.
  3. Choose between adding a single or multi filter. 
  4. If you selected ‘Custom Single’, a new filter will display with this title, click onto it.
  5. Rename your filter in the title box and assign a shape.
  6. If you chose ‘Custom multi’, click on the plus icon labelled ‘add new’.
  7. Set as many options for this filter as needed and rename this option by clicking into the ‘new option’ text.
  8. Assign each initiative in the ‘Initiative’ drop down and the custom filter will display on the right hand side in the filters tab.

Views and Publishing

Preview, Swimlane and Timeline views

  1. Click the ‘preview’ button on the top right of the screen.
  2. Once inside preview mode, click on the 3 lines icon on the top left of the screen.
  3. In the dropdown you can select between the Swimlane view, Timeline view, and back to the Sunray view.
  4. Within these views, click the initiatives to bring up the information overlays and use the right sidebar to show filters.
  5. To exit, click again on ‘preview’ on the top right.

Importing data

Importing data from a CSV file

  1. Create a new project.
  2. Select the ‘Import’ drop down on the left hand side.
  3. Select ‘import CSV file’.
  4. Locate the CSV file you want to upload and press open.
  5. Click onto each heading and assign/link these to the relevant sections listed in the drop down E.g. assigning the description column to descriptions. Once the section is assigned, press confirm and it will turn blue.
  6. Scroll through and if you are happy with all the data assignments, select the ‘finalize import’ button.
  7. All initiatives will appear on the left hand side under the ‘Import’ tab, drag and drop these onto the roadmap.
  8. Double click onto an initiative once it has been placed onto the roadmap and the filters, description and progress bar will show in the information pop up.

Importing initiatives from other roadmaps

    1. Select the ‘Import’ drop down on the left hand side.
    2. Select the ‘Import Existing Initiatives’ button.
    3. Click on the ‘Choose Roadmap’ drop down tab and select which roadmap you want to work from.
    4. Click on the ‘Choose initiative(s)’ drop down and select which initiative you want to import.
    5. Select the initiative you want to import or tick the boxes next to each initiative to select multiple.
    6. Click off of the initiatives box and the chosen initiatives will appear under the ‘Import’ drop down on the left hand side.
    7. Drag and drop the initiatives onto the roadmap.
    8. Double click onto an initiative once it has been placed onto the roadmap and the filters, description and progress bar will show in the information pop up.

Exporting a roadmap

    1. Select the ‘Import’ dropdown in the left sidebar.
    2. Under the ‘Export’ section click ‘Export to CSV’.

Sharing and updating

Sharing a roadmap

  1. Once the required initiatives, details and filters have been entered into the roadmap, click on ‘publish’ in the top right of the screen.
  2. In the popup, confirm the roadmap title
  3. Enter a password before clicking ‘confirm’.
  4. Click the ‘copy link’ button and share the URL and password with those you want to share the project with.

Sharing a roadmap - SSO

  1. Click publish on the top right of the screen.
  2. Under ‘Link Title’ enter a name for the link.
  3. Under the ‘Link Access’ dropdown select any group or user you want to have access to the link.
  4. (Permissions can be removed by clicking the bin icon to the right of a user/group’s name).
  5. At the bottom of the popup click ‘Publish’. 

Updating a link - SSO

  1. Click publish on the top right of the screen.
  2. Click the dropdown arrow under ‘Link Title’.
  3. Select the link you want to update.
  4. Click the ‘Update link’ button at the bottom of the popup.
